Website for event venues

An event venue website should let an organiser check in a few minutes whether your rooms fit their event: capacity, layout, equipment, access and available dates. Atelier Web built the site for Libramont Exhibition & Congress, the largest organisation in its portfolio, and writes in English, Dutch and French.

What we hear

  • Organisers ask the same questions about capacity, catering and parking before every quote.
  • The venue hosts weddings, conferences and trade fairs, and one site has to speak to all of them.
  • International organisers and companies in Brussels need the information in English.
  • Public events, such as fairs and shows, need their own pages, dates and tickets next to the rental offer.
  • Photos show empty rooms, so it is hard to imagine an event in them.

What should an event venue website contain?

Start with the rooms. For each hall or room: surface, capacity in theatre, classroom, banquet and standing layouts, ceiling height, daylight, equipment, and photos both empty and during an event. Organisers compare venues on exactly these facts.

Then the types of event you host. A conference organiser, a couple planning a wedding and an exhibitor at a trade fair each look for different things. A page per type, written for that reader, keeps the site from becoming one long brochure.

Add a page of practical information: parking, public transport, accessibility, loading access for exhibitors, nearby hotels. Then a request form that asks for date, guest numbers, layout and catering.

If public events take place at your venue, give them an agenda with their own pages. Smaller venues fit the same pattern on a smaller scale. Ô Mont des R’nauds in Bertrix rents out a hall alongside three holiday homes.

How do customers find an event venue online?

Organisers search by type, capacity and place: “conference venue 300 people Wallonia”, “wedding venue with garden Brabant”, “exhibition hall Belgium”. They compare a shortlist on websites, then send requests. Pages that name capacities, event types and your region in text are the ones that appear.

Your Google Business Profile matters for visitors who come to public events, and for organisers checking reviews and photos. Keep the address, entrances and parking information identical on both.

AI assistants are increasingly part of venue scouting. An assistant asked “a venue in the Ardennes for a two-day congress with 400 delegates” will recommend venues whose pages state capacity, rooms and access plainly. Tables of capacities in readable text help.

How does Atelier Web build an event venue website?

Louis starts with a call or an email exchange with the people who handle bookings. What do organisers ask, which events do you want more of, how are public events managed? A quote follows with the structure and functions you need, and once it is agreed Louis walks through the rooms on site to see the layouts and gather what the pages need.

Libramont Exhibition & Congress in Libramont-Chevigny is the largest organisation in the Atelier Web portfolio, and the work for a venue of that size starts the same way: listening to the people who answer the requests.

Louis writes the copy from interviews and your existing documents, and your team checks it. Sites are built in Dutch, French or English, or all three. The yearly maintenance package covers security, small changes such as new opening hours and your professional email address.

What does an event venue website cost?

You get a quote after that first exchange. The cost depends on the number of rooms and event types, whether public events need an agenda or ticket links, request forms, the number of languages and whether new photography is needed.

Every quote covers design, copy, the build, the link with Google and a handover so your team can add events and update rooms.

Should a venue separate visitors from organisers?

Yes, as soon as you host public events. A visitor wants dates, tickets, opening times and parking. An organiser wants capacities, floor plans and a contact person. Mixing the two on one homepage serves neither.

The simplest split is two clear paths from the homepage: “visit an event” and “organise an event”. Each leads to its own set of pages, written for that reader. A venue that only rents to private parties can skip the visitor side entirely. Explain your mix of events to Louis, and the quote will reflect the right structure.

03Frequently asked questions

Questions event venues ask about their website

What should an event venue show on its website?

Each room with surface, capacity per layout and equipment, the types of events you host, practical access information and a detailed request form. Photos of real events help organisers picture theirs.

Should a venue publish its availability?

A general indication helps, such as which periods are busy. Exact availability is often better handled in the request, since one booking can involve several rooms and set-up days.

Can one site serve both public visitors and organisers?

Yes, with a clear split from the homepage: one path for visitors who come to an event, one for organisers who want to rent the venue. Each path then has its own pages and its own language.

Does an event venue need an English website?

Most do, since organisers, exhibitors and companies come from across Belgium and abroad. Atelier Web works in English, Dutch and French.

Who updates my site when something changes?

Louis. New opening hours, a different photo, an extra product: small changes during the year are part of the maintenance package. You send a message and it is done.
